Building the Client Portal: How Circles Become Your Distribution Channel

The biggest objection to new pet care software is 'will my clients actually sign up?' PetAmigo's answer: give every client a free Circle account that doubles as their portal.

The biggest objection we hear from sitters considering new software is: "Will my clients actually bother signing up?" It's a fair question. Adoption friction kills good tools — a client portal nobody opens is just another password you have to support.

    Why traditional client portals fail

Most pet sitting software treats the client portal as a feature you've paid for and the client hasn't. The result is predictable:

    • The client gets an email saying "create an account to view your invoices" and thinks: why do I need an account to pay you?
    • They set a password once, forget it, and text you instead.
    • You end up doing the portal's job manually — which is exactly what the software was supposed to stop.

The problem isn't the client. It's that the portal asks them to do work in exchange for nothing they wanted.

    The Circle crossover

Here's the insight behind PetAmigo: because our consumer side — Circles — is a genuinely useful free product in its own right, inviting a client isn't asking them to adopt your software. It's handing them a tool they can use for the rest of their pet's life, with you or without you.

    A client's Circle lets them:

    1. Keep pet profiles — food, meds, vet contacts, quirks — in one place
    2. Coordinate care with their own trusted network (family, neighbors) when you're not the one sitting
    3. See visit logs and updates from your bookings in the same place

So when you invite a client, the pitch isn't "please sign up so I can run my business." It's "here's a free care hub for your pets — and my bookings and updates show up inside it."

What this looks like in practice

    1. You sign up as a Business account ($19/month solo, no per-client fees).
    2. You invite a client — they create a free Circle account.
    3. Their pet profile and care instructions flow into your scheduling — no more re-asking for vet info every booking.
    4. After each visit, your visit log (fed, walked, medication given — or baths and nail trims for grooming clients) lands in their Circle automatically.
    5. When they go on vacation and you're unavailable, their Circle already works for backup care — with you as the linked professional they'll rebook.

    The distribution loop

This is the part traditional software can't copy. Every client you invite becomes a Circle user. Every Circle user who needs professional help can see and invite a linked professional. The free product and the paid product feed each other — your client portal doubles as your best acquisition channel, in both directions.

If you want to see the kind of care document clients start with, try the free pet care card generator — it's the printable version of a Circle profile, and a good way to show clients what organized care looks like.
